Business automation for Sydney businesses

Business automation that gives Sydney teams their hours back.

Enquiries waiting hours for a reply. Quotes nobody chases. Invoices typed into Xero by hand. We connect the software you already pay for and set it up to do those jobs on its own, so your team stops doing them.

Start with a free automation audit. Give us your website and we map the jobs in your week that software could do, and the hours each one costs you.

Based in Albury Wodonga. We work with Sydney businesses over video calls and shared screens, and in person in Sydney when the job needs it.

Who we automate for in Sydney.

Different industries, the same problem: the work is coming in, and the admin around it eats the week. Here is what we take off the desk in each one.

Trades and construction

Enquiries answered while you are on the tools.

A web enquiry becomes a job in ServiceM8 or simPRO. The customer gets a text back inside a minute, and the quote follow-up sends itself.

Accountants, bookkeepers, law firms

Less chasing, more billable hours.

New enquiries land in your practice software with the details already in. Document reminders go out on a schedule, so nobody spends Monday chasing paperwork.

Health clinics

Front desk time back for patients.

Cliniko invoices and terminal payments reconcile in Xero without a spreadsheet, and booking reminders go out on their own.

Real estate and property

Portal enquiries answered in under a minute.

realestate.com.au, Domain and website enquiries land in VaultRE, Agentbox or Rex with the reply already sent.

E-commerce and retail

Books that reconcile themselves.

Shopify or Square sales, fees, refunds and GST post to Xero, so the bank feed matches without a night of ticking boxes.

Something else?

If it happens five times a week, it is worth a look.

The jobs change from one industry to the next. The test does not. Tell us what your team repeats and we will tell you what software can take.

The workflows we automate most.

Enquiries, quotes, invoicing, your CRM, Xero and the weekly report. Pick the one costing you the most hours and we start there.

Enquiries and follow-up

  • Website forms and emails become a record in your CRM or job system, matched to the customer you already hold
  • The customer hears back inside a minute, by text or email
  • Quotes get followed up on a set day if nobody has replied
  • A review request goes out once the job is done

Quotes, invoicing and Xero

  • A won quote raises the invoice in Xero or MYOB, with the right line items and tax codes
  • Overdue invoices get reminders on a schedule, and you get a short list of who needs a phone call
  • Quotes, contracts and forms fill themselves from details you already hold

Your CRM, kept in step

  • Enter a customer once and they appear in the CRM, the job system, Xero and the calendar
  • Duplicates get merged, so there is one version of each customer
  • HubSpot, Pipedrive, ServiceM8, simPRO and more. Bigger joins are systems integration

Reporting

  • The weekly numbers build themselves and arrive in your inbox
  • One dashboard for leads, quotes, jobs and money owed, fed by the tools you already use

AI, where it pays its way

  • An after-hours voice assistant that answers the phone and emails you a summary of every call
  • Software that reads supplier invoices, PDFs and emails so your team does not have to
  • Want your team using ChatGPT and Copilot better too? That is our AI training

Built inside the tools you already pay for.

  • Xero
  • MYOB
  • HubSpot
  • Shopify
  • Square
  • Stripe
  • Zapier
  • Make
  • n8n

What it looks like at Clean Energy Solutions.

Clean Energy Solutions installs solar and batteries on the Border. We rebuilt how the business runs, from the website in. Not getting your website AI ready is going to be the same as forgetting to renew your Yellow Pages spot back in the 80s. One month after launching we can already see a big improvement in traffic and enquiries through search.

Business automation in Sydney: your questions.

More detail on scope and tools is on our business automation page. You can also browse integrations or your industry.

Do you work with businesses in Sydney?

Yes. We are based in Albury Wodonga and work with businesses across Sydney and the rest of Australia. Most of the work happens over video calls and shared screens, because the tools you run are online. When the job needs it, for a kickoff, a workshop with your team or a go-live, we come to you in Sydney.

How much does business automation cost for a Sydney business?

From $2,500 for a focused set of workflows. A full build across several systems runs to $12,000+. There is a monthly option for ongoing changes and monitoring. You get a fixed price after the free audit call, before any work starts. Our automation cost guide shows the sum to do first.

Which Sydney businesses get the most out of automation?

Businesses where the work is coming in and the team is buried in the admin around it. That is often trades and construction, accountants and law firms, health clinics, real estate agencies and online stores. If someone does the same task more than five times a week, it is worth automating.

Will it work with Xero and the software we already use?

Yes. We work with Xero, MYOB, QuickBooks, HubSpot, Pipedrive, ServiceM8, simPRO, Cliniko, Square, Shopify and Stripe. If your software has an API, we can almost always connect it. If it does not, we tell you before you spend anything. The pairs we build most often are on the integrations page.

How long until our first automation is live?

Most automation work is live in two to four weeks. We start with the job costing you the most hours, so the first piece is usually running in week one.

Where is our data kept?

The workflows run in your own accounts, so you stay in control and they keep running if you stop using us. Where we hold data ourselves, our primary database sits in the Sydney region. Some providers process data outside Australia, so if you need Australian-only processing, tell us before we scope the work.

What happens if an automation breaks?

We build for the bad days from the start: a duplicate, a timeout, a missing field. Alerts go to us as well as you, so we find the fault before you have to report it.

Get your free automation audit.

Send us your website and we look at the tools you run before we speak. Then we go through your week with you on a 30 minute video call. You get a list of the jobs software could take off your team, the hours each one costs you, and a fixed price to build them. The list is yours to keep, whether or not you use us.

What you get before you pay us anything

  1. A map of your week. Each repeat job, who does it and how often.
  2. Hours against each job. You do the sum yourself, with your own hourly cost.
  3. The order to fix them in. Biggest hours first, whatever sounds best in a meeting.
  4. What to leave alone. The jobs not worth automating, and the steps to delete.
  5. A scope and a fixed price. Build it yourself, hand it to someone else, or hand it back to us.

We look at it before the call, so we already know what you run.
