ShopifyXero

Sell it on Shopify.Reconcile it in Xero, payouts and all.

Xero's Shopify connector posts a daily sales summary. It does not know about your Afterpay payouts, your GST on shipping, the refund from Tuesday or the wholesale order that was invoiced on terms. We connect the two so the payout in the bank matches the orders in Xero without a spreadsheet in between.

What it replaces 12 to 15 hrs

A week lost to admin by the average Australian owner. For online stores a good share of it is reconciliation.

After we connect them To the cent

Orders, fees, refunds and payouts posted so each Shopify Payments, PayPal and Afterpay deposit matches the bank feed.

Runs Nightly

Yesterday's orders are in Xero before you open the laptop.

Lock-in 0

Runs in your Shopify and Xero accounts. You own the connection and the documentation.

Also connects

Cin7, Unleashed and Katana for stock. Australia Post and Sendle for shipping. HubSpot or Klaviyo for the customer side.

Manufacturers selling direct and wholesale through the same store are the usual fit.

What moves

Orders posted with GST that is right

Each day's orders become Xero sales with GST per line, shipping taxed correctly, discounts shown, and export sales GST-free. Not averaged, not guessed.

  • GST per line from Shopify's tax settings
  • Shipping and discounts on their own lines
  • International orders GST-free automatically

What moves

Payouts matched by gateway

Shopify Payments, PayPal, Afterpay and Zip all pay out on different days with different fees. Each gateway's payout is posted with its fee and matched to the bank feed, so reconciliation is a click, not an afternoon.

  • Gateway fees posted to the right account
  • Payout timing handled per gateway
  • Held or delayed payouts flagged
03

What moves

Refunds, part-refunds and chargebacks

A refund becomes a credit note on the right order in the right period. A part-refund keeps the rest of the sale intact. A chargeback is listed for a human rather than posted as a mystery.

  • Credit notes linked to the original sale
  • Partial refunds split correctly
  • Chargebacks queued for review

What moves

Wholesale and stock, if you need them

Manufacturers who sell wholesale through the same store need those orders invoiced on terms, not paid at checkout. And stock in Cin7 or Unleashed should not drift from what Shopify is selling. Both are additions to the same connection.

  • Wholesale orders raised as Xero invoices on account
  • Stock levels synced from your inventory system
  • Backorders flagged before the customer asks

Before you pay

Read this part first.

Some of what is on this page you can get without us. The rest is where the money goes. Both are written down here so you can decide before the call.

What Xero already does

Xero offers its own Shopify integration, and for a small store with one payment gateway and few refunds it is enough. Use it. This build is for stores with several gateways, meaningful refund volume, wholesale on terms, or a bookkeeper who reworks the daily summary every week.

What we will not do

Post every order as its own Xero invoice. A store doing 3,000 orders a month does not need 3,000 invoices in Xero. Daily summaries by gateway, with order-level detail in a searchable log, is what your accountant wants.

How it works

What we actually do, in the order we do it.

Every step below is work you can verify. Ask any provider to show you the same list for what they are doing.

1. Map the store to the ledger

Which product types go to which Xero accounts. How each gateway's fees are treated. Whether wholesale is tagged in Shopify or handled elsewhere. An hour with the bookkeeper.

2. Check the tax settings first

If Shopify is charging GST on export orders or not charging it on shipping, no integration will post correct numbers. We check on day one and fix it before anything goes live.

3. Build it, then try to break it

A refund on an order from a previous month. A payout held by the gateway. An order with a 100% discount code. Each has a defined outcome before launch.

4. Monitor it

Every nightly post is logged against the payout it matched. Failures alert us, and the bookkeeper sees a clean feed, not a mystery.

What it costs

Real numbers, before you ask for a quote.

Shopify to Xero starts from $2,500 for one store with payout matching and refunds. Multiple gateways, wholesale invoicing and stock sync push it toward $6,000. Live within two to three weeks. If your Shopify tax settings are wrong, we will find that on day one, and fixing them is part of the job.

What is included

The product and account mapping, written down. A check of your Shopify tax settings before go-live. Nightly posting by gateway with fees, refunds and payout matching. A searchable log and a handover document.

What is not included

Your Shopify, Xero and gateway subscriptions, which stay in your name. Re-doing past months the bookkeeper has already reconciled. Setting up your inventory system, if you do not have one yet.

Who owns it

You do. The connection lives in your accounts, on your subscriptions, with documentation your next provider could pick up. There is no retainer required to keep it running.

FAQs

Questions about
Shopify to Xero.

Does it handle Afterpay and Zip?

Yes. Each gateway's payouts are posted separately with their own fees and matched to the bank feed.

We sell wholesale through the same store.

Wholesale orders tagged in Shopify are raised as Xero invoices on account instead of paid sales, with the customer matched to your Xero contact.

What about GST on international orders?

Orders shipped outside Australia post GST-free, using Shopify's tax settings. If those are wrong we tell you on day one.

Can it sync stock?

If you run Cin7, Unleashed or Katana, yes. Shopify's own stock can also be read for low-stock alerts.

How long does it take?

Two to three weeks. Stores with wholesale and stock run to four.

The other half

Connecting your tools does not bring you new customers.

This gives you hours back. It does not make the phone ring. If enquiries are the actual problem, the work is on the other side of the business: see SEO and web design. On the call we will tell you which half is costing you more.
