Enquiry in at 7am.Job in ServiceM8 by 7:01, customer texted.

The enquiry form on your site sends an email. Someone reads it at lunch, rings back at 4, and the customer booked the other bloke at 10. We connect the form to ServiceM8 so the job exists, the customer is created and the reply goes out before anyone has opened their inbox.

The cost of a slow reply 8 to 12 hrs

A week lost to quoting, scheduling and chasing, by the average Australian tradie. Worth $4,000 to $7,200 a year. Retyping enquiries is part of it.

After we connect it 60 sec

From form submit to a ServiceM8 job with the customer, address and photos, and an SMS reply confirming you have it.

Runs 24/7

Saturday night enquiries get the same reply as Tuesday morning ones.

Lock-in 0

Runs in your ServiceM8 account on your SMS credits. You own it.

Also connects

Tradify, AroFlo, simPRO and Fergus. Google Business Profile messages and Facebook lead forms on the front end.

Xero on the back end is a separate build, and often the next one.

What moves

Form to job, with the customer created

A submitted enquiry becomes a ServiceM8 job in the queue you choose, with the client record created or matched, the site address on the job, and any photos the customer attached. Your office sees it in the same list as every other job.

  • Client matched on phone or email, so repeat customers are not duplicated
  • Service type from the form sets the job category and description
  • Photos and attachments land on the job, not in an email

02

What moves

The reply that wins the job

Speed is the whole game with trade enquiries. The customer gets an SMS within a minute, from your number, saying you have the job and when they will hear from you. The first tradie to reply usually wins, and this makes you first every time.

  • SMS from your number with the job reference
  • Different wording for emergency versus quote enquiries
  • Office gets a push notification, not an email to find later
03

What moves

Quote follow-up that does not rely on memory

Quotes sent from ServiceM8 that have not been accepted after three days get a follow-up SMS. After seven, another. This is the cheapest thing on the page and it recovers the most work, because most unaccepted quotes were never declined, just forgotten.

  • Follow-up schedule you set, per job category
  • Stops the moment the quote is accepted or declined
  • Replies land in the ServiceM8 job diary

What moves

Review request when the job is paid

When a job is marked complete and the invoice paid, the customer gets one message with your Google review link. Not three. Not to the customer who complained. You can exclude any job with a tap.

  • Triggered on paid, not on complete, so nobody is asked mid-dispute
  • One message, then silence
  • Sent from the number the customer already recognises

Before you pay

Read this part first.

Some of what is on this page you can get without us. The rest is where the money goes. Both are written down here so you can decide before the call.

What ServiceM8 already does

ServiceM8 has an online booking page and its own SMS. If you are happy to send customers to a ServiceM8-hosted form instead of your own site, you can get part of this without us. Most of the trades we work with want the form on their own site, want the reply worded their way, and want quote follow-up and review requests timed their way. That is what this build is.

What we will not do

Send the customer four messages before a human has spoken to them. One confirmation, then a person. Automation that talks too much loses the job as fast as silence does.

How it works

What we actually do, in the order we do it.

Every step below is work you can verify. Ask any provider to show you the same list for what they are doing.

1. Map the enquiry

What the form asks, what ServiceM8 needs to schedule a job, and what the customer should hear back. Usually the form gets shorter, not longer.

2. Match the records you already have

Repeat customers enquire through the website too. We match on phone and email so their new job lands on their existing ServiceM8 client, with the history intact.

3. Build it, then try to break it

A form with no phone number. A spam submission. A photo that is 14MB. ServiceM8 being slow at 7am. Every one of those has a defined outcome before launch.

4. Monitor it

Every enquiry the connection handles is logged. If something fails, we are alerted, and the enquiry is never lost. Worst case it lands in your inbox the old way.

What it costs

Real numbers, before you ask for a quote.

Website to ServiceM8 starts from $2,500 for the form, the job creation and the SMS reply. Quote follow-up and review requests add to it, most trades take both, and the lot lands between $3,500 and $5,000. Live within two to three weeks. If the site itself is the problem, we will say so, and that is a different quote.

What is included

The form connected, or rebuilt if it has to be. Job creation, client matching and the SMS reply. Quote follow-up and review request schedules if you take them. A log of every enquiry and a handover document.

What is not included

Your ServiceM8 subscription and SMS credits, which stay in your name. A new website, which is a separate quote if the current one is the problem. Answering the phone. The connection buys you time, a person still calls.

Who owns it

You do. The connection lives in your accounts, on your subscriptions, with documentation your next provider could pick up. There is no retainer required to keep it running.

FAQs

Questions about
Website to ServiceM8.

We use Tradify, not ServiceM8.

Same build. Tradify, AroFlo, simPRO and Fergus all take jobs and customers through their API. The form side and the SMS side do not change.

Do you need to rebuild our website?

No. The form on your existing site can be connected as long as we can get at it. If the site is slow or the form is buried, we will tell you, because the connection will not fix that.

Whose number does the SMS come from?

Yours, through ServiceM8's SMS or an Australian SMS provider in your name. Replies come back to you, not to us.

Can it handle emergency call-outs differently?

Yes. An emergency tick box on the form can route to a different ServiceM8 queue, send a different SMS and ring the on-call phone.

What does it cost to run?

SMS credits, which are yours, and nothing else if you take no monitoring. Monitoring is a cancellable monthly retainer.

Other integrations we build often.

All nine are listed at integrations, and the general approach is on the systems integration page. Built for trades and construction among others.

The other half

Connecting your tools does not bring you new customers.

This gives you hours back. It does not make the phone ring. If enquiries are the actual problem, the work is on the other side of the business: see SEO and web design. On the call we will tell you which half is costing you more.

Running Website and ServiceM8?

Thirty minutes. Tell us what you run and we will map exactly what moves between them, what it takes, and what it costs. You keep the map whether or not you use us.
